Document Management - Scanning the Past

Preserving history and safeguarding documents has never been so crucial as more of us rely on microfilm and old archives to create a paper trail to our past - electronic document management systems can help. As society moves faster and faster, the past seems further and further away. Technology is transforming year-on-year, changing how we communicate, work and socialise. But one of the great advances in technology means that it's possible to bring history with us; electronic document management systems can help secure and file documents and images, ensuring they are accessible to more people than ever before. Microfilm scanning services can capture any format of 16 or 35mm microfilm, cartridge, jacket or fiche. Whether its business documents captured from microfilm that you need indexing and storing in a document management system, or microfilm images of old newspapers and drawings, it's possible to transfer the information electronically.

Document Management: Saving our Past

One such example of how history can be lifted from old fashioned filing systems - systems that can fade, be lost or stolen, or be easily destroyed - is the project run by Cambridge University that saw the complete work of Charles Darwin, one of history's most famous scientists, published online. Migrating archive microfilm files to an electronic document management system can allow users to access valuable information that could otherwise have been lost. Using state-of-the-art scanning it's possible to use electronic document filing, records management and document imaging, allowing for easy access to the information in question, as well as easy information retrieval and storage solutions.

Digitalising Darwin

The project to digitalise Darwin's work saw 50,000 pages of text and 40,000 images scanned and electronically documented - all of the material is searchable allowing users to access and download documents, images and audio files. Such electronic document archiving is one way of democratising information and knowledge, while ensuring it is easily managed, stored and protected.  Electronic document management can be information rich - transforming how we access information. The Darwin database was inspired by a historian, Dr van Wyhe, who spent four years travelling the world in search of Darwin's materials and works about the naturalist.
"I wrote to lots of people all over the world to get hold of the texts for the project and I got a really positive reaction because they all liked the idea of there being one big collection," he told BBC News. Electronic document management also safeguards valuable documents - one field notebook was stolen in 1980 and is still missing, but the text was transcribed from a microfilm copy made before the disappearance.
